Klaviyo Management
Klaviyo Management for Ecommerce Brands That Want It Fully Handled
Magicianly manages Klaviyo end to end for established ecommerce brands, from strategy, campaigns and lifecycle flows to sign-up forms, segmentation, deliverability, testing and ongoing optimization.
Klaviyo
The operating system
One account. Multiple moving parts. One coordinated strategy.
Most Klaviyo Accounts Aren’t Underbuilt. They’re Under-Managed.
Most established ecommerce brands already have flows, campaigns, segments and sign-up forms in place.
The problem is that too often, nobody is truly responsible for keeping the account moving.
Campaign calendars become reactive. Flows get built once and forgotten. Sign-up forms stop being tested. Deliverability gets attention only when something goes wrong. And the account slowly becomes a collection of automations instead of an actively managed retention system.
That is where ongoing Klaviyo management matters.
Passive Klaviyo Account
- Flows built once
- Campaigns sent reactively
- Sign-up forms rarely tested
- Segments accumulate
- Deliverability monitored late
- Reporting focuses on attributed revenue
Actively Managed Klaviyo Account
- Clear retention roadmap
- Consistent campaigns
- Lifecycle flows continuously improved
- Popup and sign-up forms tested
- Segments stay useful
- Deliverability maintained
- Business outcomes reviewed
End-to-End Management
One Klaviyo Account. Eight Areas That Need to Keep Moving.
Klaviyo performs best when the account is managed as one connected system rather than a collection of disconnected campaigns, flows and lists.
Strategy
Priorities, roadmap, customer journey opportunities and what we should improve next.
Campaigns
Planning, copy, design, segmentation, scheduling and ongoing campaign optimization.
Lifecycle Flows
Automations built around customer behavior, timing and the next logical action.
Sign-Up Forms
Popup and onsite sign-up forms tested to capture more qualified subscribers from traffic you already paid to acquire.
Segmentation
Keep audiences useful and actionable without building complexity for the sake of it.
Deliverability
Protect inbox placement through engagement, list hygiene, infrastructure and sending discipline.
A/B Testing
Run meaningful experiments, document the learning and use it to improve what comes next.
Reporting
Understand what is changing in the account and, more importantly, what customers are doing differently.
Your Campaign Calendar Shouldn’t Start With “What Should We Send This Week?”
Strong campaign programs are planned around the brand, customer journey, product calendar and what customers actually need to hear next.
We manage the full campaign process, from strategy through execution, so the calendar does not depend on the founder or internal team constantly feeding the agency ideas.
You should not need to build the campaign calendar for your agency.

Strategy & Calendar
We plan campaign themes, product moments and retention opportunities ahead of time.
Copy & Creative
Campaigns are written and designed to feel like the brand, not like a generic ecommerce template.
Segmentation
We decide who should receive the message based on engagement, behavior and relevance.
Testing
We test meaningful variables where the result can actually change future decisions.
We Don’t Build Flows to Hit a Flow Count
More flows do not automatically mean a better Klaviyo account.
The goal is to build the right automation around the moments that actually influence customer behavior, then keep improving those journeys as the business changes.
- 01Sign-Up
- 02Welcome
- 03Browse
- 04Cart
- 05Checkout
- 06First Purchase
- 07Post-Purchase
- 08Cross-Sell
- 09Replenishment
- 10Second Purchase
- 11Winback
The exact flow structure depends on the brand, product and customer journey. We care more about timing, logic and relevance than whether the account has a specific number of automations.
Sign-Up Forms & List Growth Should Improve Customer Economics
Every visitor who leaves without joining your list is traffic you may need to pay to reach again.
That is why Klaviyo sign-up forms and popup forms are not a design afterthought. They are part of the acquisition economics.
- Sign-up form conversion
- Mobile vs desktop performance
- Offer structure
- Quiz or preference capture where useful
- Form timing
- Creative
- Subscriber quality
- Subscriber-to-customer conversion

- Traffic
- Sign-Up Form
- Subscriber
- Welcome Journey
- First Purchase
A higher sign-up rate is useful.
A higher subscriber-to-customer rate is better.
Segmentation Should Make Decisions Easier, Not the Account More Complicated
Klaviyo makes it easy to create endless segments.
That does not mean you should.
We generally prefer a smaller number of useful audiences based on engagement, purchase behavior, product interest and lifecycle state over dozens of microsegments nobody actually uses.
The best segment is one that changes what you actually send.
Email Deliverability
The Best Campaign in the World Doesn’t Matter if It Never Reaches the Inbox
Deliverability is not something we wait to fix after performance collapses.
It is part of how we manage the account continuously.
Engagement
Sending consistently to people who still want to hear from the brand.
List Hygiene
Controlling inactive contacts, bounces and unhealthy list growth.
Infrastructure
Supporting the technical foundations needed for healthy sending.
Sending Strategy
Balancing frequency, audience size and campaign consistency.
Monitoring
Watching for changes before they become major problems.
Klaviyo Management Should Get Smarter Over Time
A managed account should not look the same six months from now.
We continuously test, review and refine campaigns, flows, sign-up forms, audiences and timing based on what we learn. Each test has a decision attached to it, so the account gets more useful with every learning cycle.
Wins are useful.
Losses are useful.
Inconclusive tests are useful if they help us make a better next decision.
- Hypothesis
- Test
- Result
- Learning
- Next Decision
- Then the loop starts again with a better question.
Beyond Klaviyo
Your Klaviyo Strategy Depends on What Happens Outside Klaviyo Too
The best lifecycle messaging often depends on events happening elsewhere in the ecommerce stack.
Subscription activity, shipping milestones, reviews, loyalty behavior, quiz answers and product data can all change what a customer should receive next.

We Don’t Judge Klaviyo by Klaviyo-Attributed Revenue Alone
Klaviyo metrics are useful for understanding what is happening inside the channel.
But attribution does not automatically tell you what would have happened without the message.

Magicianly stands out above the rest
Emiel and his team are the only ones we've worked with who we fully trust to nail our messaging, understand our audience, and create the kind of graphics that align with our brand. It's a great feeling to not have to worry about that part of the business or feel like everything needs constant oversight.
Great Team, Great Processes
What impresses me most about Magicianly is the ownership and the processes. From content calendars to approvals to weekly and monthly reporting, everything is run as a controlled process that hums. A team that can take full ownership, deliver reliably, and keep things on brand.
We'd worked with two other agencies…
We'd worked with two other agencies before, and both experiences were terrible. So we were hesitant to try another one. The entire experience with Magicianly was smoother, more organized, and honestly just more enjoyable than anything we'd been through before.
Incredible team!
We've worked with different email agencies over the years, but Magicianly genuinely stood out. From strategy to execution, their team was proactive, creative, and incredibly easy to work with. Their insights helped us unlock real growth through email.
Working with Magicianly has completely transformed…
They don't just set up templates and walk away; they take the time to understand our brand voice and our customers. From building complex automation flows to keeping our deliverability rates healthy, they handle everything with total professionalism.

Highly recommended!
Magicianly has been wonderful to work with! Beautiful email designs, reasonable pricing, and an active team. Emiel personally speaks with me regularly, and I have nothing but good things to say.

You Shouldn’t Have to Manage Your Klaviyo Agency
- 01
We Bring the Ideas
You should not need to tell us what campaign to send, what flow to build or what opportunity to investigate next.
- 02
We Own the Account
Strategy, execution, optimization and communication should feel coordinated rather than fragmented across different people.
- 03
We Look Beyond Klaviyo
We use Klaviyo to improve the customer journey, not to maximize dashboard metrics for their own sake.
FAQ
Klaviyo Management Questions
Practical answers to what brands usually ask before handing over ongoing Klaviyo management.
View All FAQsWhat does Klaviyo management include?
Ongoing Klaviyo management can include strategy, campaign planning, copy, design, lifecycle flows, sign-up forms, segmentation, deliverability, testing, reporting and continuous optimization.
At Magicianly, the exact priorities depend on the account. We do not manage Klaviyo as a fixed checklist. We focus on the areas most likely to improve the customer journey and the economics behind retention.
Can Magicianly take over an existing Klaviyo account?
Yes. Most brands we work with already have an established Klaviyo account.
We review the existing campaigns, flows, sign-up forms, segments, deliverability and account structure, then decide what should be kept, improved, rebuilt or deprioritized.
We do not automatically rebuild everything from scratch if the existing work is already strong.
Do you manage both Klaviyo campaigns and flows?
Yes. Ongoing management can include both regular campaign execution and lifecycle automation.
We believe the two should work together. Campaigns keep the brand relevant between purchases, while flows respond to specific customer behavior and lifecycle moments.
How often should ecommerce brands send Klaviyo campaigns?
There is no single correct number for every brand.
For many established ecommerce brands, three to four campaigns per week can be a useful operating range, but frequency depends on list engagement, product category, customer behavior, promotional calendar and the amount of genuinely useful content the brand has to send.
The goal is not simply to send more. It is to stay relevant without damaging engagement or deliverability.
Does Magicianly handle Klaviyo deliverability?
Yes. Deliverability is part of ongoing account management rather than something we only address after a problem appears.
We look at engagement, sending patterns, list hygiene, bounce behavior, infrastructure and audience quality to help protect inbox placement.
Can you redesign our existing Klaviyo emails and flows?
Yes, where it makes sense.
We can redesign and rewrite existing campaigns and lifecycle flows so they better match the brand and customer journey, but we do not rebuild strong work just for the sake of changing it.
The goal is better performance and a stronger customer experience, not unnecessary redesign work.
Do you work with Shopify and Klaviyo together?
Yes. Shopify and Klaviyo are the core ecommerce stack for many of the brands we work with.
We also work with data from other parts of the retention ecosystem, including subscription, reviews, loyalty, list growth and post-purchase tools where those events can improve lifecycle messaging.
How do you measure Klaviyo performance?
We use Klaviyo metrics to diagnose channel performance, but we do not stop at attributed revenue.
We also look at metrics such as subscriber-to-customer conversion, first-to-second purchase rate, repeat revenue, time between orders, cohort LTV and contribution margin where the data is available.
Can Magicianly migrate us to Klaviyo?
We can support Klaviyo migration and implementation where it is part of a broader retention engagement.
That can include account structure, flows, lists, segments, sign-up forms and the technical setup needed to begin operating effectively in Klaviyo.
For a pure standalone migration project, fit depends on the scope.
How much does Klaviyo management cost?
Pricing depends on the scope of the account, campaign volume and the level of support required.
Magicianly primarily works with established ecommerce brands that want ongoing strategic and execution support rather than basic platform administration.
The best next step is to talk through the current account and what you want the retention program to accomplish.
