How to Set Up a Branded Sending Domain in Klaviyo

A branded sending domain allows Klaviyo marketing emails to use infrastructure associated with your own domain rather than relying entirely on default shared branding.

It is an important part of a professional sending setup, and it is only one part of email deliverability. You still need proper authentication, healthy sending behavior, good list quality and real engagement.

How to Set Up a Branded Sending Domain in Klaviyo

What Is a Branded Sending Domain?

A branded sending domain is a subdomain of your own domain, configured with DNS records that authorize your email platform to send on your behalf.

Three things get confused here, so it helps to separate them:

Root domain
Your main domain, for example brand.com. This is your primary web identity.
Sending subdomain
The dedicated subdomain used for email infrastructure, for example send.brand.com.
Visible From address
What the recipient sees, for example hello@brand.com. This is separate from the sending infrastructure.

These are related but different. Setting up a sending subdomain does not change your From address, and changing your From address does not authenticate your sending.

Why Use One?

  • authentication and control, because SPF and DKIM alignment is tied to your own domain;
  • a professional sending setup rather than shared default infrastructure;
  • clearer sender identity across your marketing sends;
  • a foundation that the rest of your deliverability work sits on.

It will not on its own fix inbox placement. Treat it as a prerequisite rather than a solution.

Marketing vs Transactional Sending

Marketing email and transactional email carry different risk. Promotional sends attract complaints and unsubscribes. Order confirmations and shipping notifications generally do not, and they need to arrive.

Some larger brands separate the two across different sending domains or infrastructure so that promotional reputation cannot affect transactional delivery. That depends on volume, platform setup and how transactional email is currently sent.

Most brands do not need multiple sending domains. Do not add complexity you cannot maintain.

How to Set It Up in Klaviyo

The interface changes over time, so these are the steps rather than a click path:

  1. open the domain and sending settings area in your Klaviyo account;
  2. start adding a branded sending domain;
  3. select the root domain you want to send from;
  4. choose an appropriate sending subdomain;
  5. add the DNS records Klaviyo provides at your DNS provider;
  6. verify the records inside Klaviyo;
  7. activate the domain once verification succeeds;
  8. send test campaigns and confirm headers and rendering look correct.

Never copy DNS values from a tutorial or video. Klaviyo generates records specific to your account, and using someone else's will fail verification.

DNS Verification Can Take Time

DNS changes propagate gradually. Verification may succeed within minutes or take considerably longer depending on your provider and record caching.

If verification fails, the usual causes are a typo, a duplicated record, or a provider that automatically appends the domain to the host field so the record ends up nested. Check the record as it resolves rather than as you typed it.

Check DMARC Too

DMARC works alongside SPF and DKIM. It tells receiving mailbox providers what to do when a message claiming to be from your domain fails authentication, and it lets you receive reporting.

Do not copy a generic policy and apply it everywhere. A DMARC policy should be configured for your organization's full sending environment, including any other systems that send using your domain, such as your helpdesk, ecommerce platform or invoicing tools. Moving to an enforcing policy without that visibility can block legitimate mail.

What a Branded Sending Domain Will Not Fix

This is the expectation to set clearly. A branded sending domain will not solve:

  • poor list quality or a database full of contacts who never engage;
  • spam complaints caused by unwanted email;
  • sudden large volume spikes;
  • irrelevant messaging sent to everyone;
  • weak segmentation.

If deliverability is already struggling, authentication is the floor rather than the fix. Pair it with list hygiene and better audience selection.
